About the Opportunity  

This position will be employed by Kilroy Realty, L.P. The Property Coordinator role primarily entails full range of administrative and operational support for the asset management team that manages a portfolio of six (5) NNN Class A office properties located in Mountain View, Sunnyvale, Palo Alto, and Redwood City, totaling 2.1M square feet. This position reports to the Senior Property Manager. Excellent opportunity to learn all aspects of Commercial Property Management in an environment that maximizes the utilization of innovative applications and solutions.

Opportunity Requirements

  • Must be self-motivated, possess excellent phone etiquette, convey a highly professional manner, and be highly organized.
  • Solid understanding of office procedures; typing skills 60+; excellent spelling and grammar; and highly computer literate with Outlook, Word and Excel.
  • Good math skills are essential.
  • Minimum of 2 years working in a professional office environment.
  • Minimum 1 year working in a commercial real estate environment or has a bachelors / associate degree in real estate, finance, or other business majors.
  • Excellent interpersonal and communication skills.
  • Ability to multi-task and stay focused in a fast-paced environment.

 Summary of Responsibilities  

An essential function of this position is regular and predictable attendance. The core responsibilities of this position include, but are not limited to the following:

General Administration:

  • Greet tenants and visitors and provide front desk and telephone coverage when needed.
  • Coordinate team events/lunch meetings.
  • Assist Asset Management team with internal meeting coordination and expense report preparation.
  • Process invoices, tenant billbacks, and purchase orders in a timely manner.
  • Organize & maintain certifications, preventative maintenance reports, vendor, and tenant files.
  • Ensure all tenant contacts (legal, billing, premises, emergency) are updated.

Insurance Compliance:

  • Assist Asset Management team in obtaining timely renewal of certificates of insurance for tenants and vendors.
  • Assist Asset Management team in preparing incident report forms for submittal to Risk Manager.
  • Assist Asset Management team in obtaining vendor certificate of insurance before commencing work.

Property Management:

  • Assist asset management team in following up with vendors to confirm timely completion of jobs.
  • Participate in monthly and annual property inspections as assigned.
  • Collect copies of tenant-responsible contracts and maintenance reports to ensure tenants are meeting maintenance and repair obligations.
  • Assist with the coordination of tenant appreciation and educational events.

Tenant Relations:

  • Assist in the preparation and distribution of tenant memos and notifications.
  • Assist in the preparation of move-in packages and in coordination of tenant move-ins/outs.
  • Assist in implementation and compliance of tenant lease obligations.
  • Assist in preparing Tenant Manuals and Emergency procedures.
  • Assist in educating Tenants on each recycling program.
  • Assist asset management team in resolving miscellaneous Tenant issues.

Vendor Relations:

  • Assist asset management team with monthly walk-throughs and follow up requests.
  • Liaison with engineering team and day porter to complete tenant work orders in a timely manner.
  • Assist asset management team with collection of bids for projects, and/or maintenance and repairs.
  • Maintain vendor contracts, purchase order documents and vendor files as needed.

Other duties as assigned.

At Kilroy, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within the role. The base pay range for this role is between $57,000 to $84,000, and your base pay will depend on your skills, experience and training, knowledge, licensure and certifications, and other business and organizational needs.  It is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.  This role is eligible for an annual discretionary bonus as well.
